Institute & Departmental Policies on Special & Visiting Graduate Students

Special
Student
Status
Graduate students may be admitted in exceptional cases as Special Students to carry out full-time studies at the Institute without being a candidate for a degree from Caltech. This status is restricted to students who are registered in, or are on sabbatical from, an advanced degree program at another institution and who need to make use of resources available at Caltech. Special Students must be invited by a current faculty member who will become the official sponsor. Such status requires application to the Dean of Graduate Studies by filling out the Special Student Application form. These forms must be obtained from the Physics Graduate Office at least two months prior to the arrival of the student (especially for international students requiring visas). A delay in receipt of these forms can delay admission. To apply for Special Student Status, the student must complete the Special Student Application sent to them by the Caltech faculty sponsor. The completed application and financial award must be submitted through the Physics Graduate Office. An evidence of support letter from the sponsoring Caltech faculty member describing the duration of stay and terms of agreement, including account information to cover either assistantship stipend or tuition and fees, must also be submitted with the application. Special Students must then register for each term of residence for 36 units of research or course work. Special students will be charged 3 units of tuition per term of residence, this fee is covered if the student receives a Graduate Research or Teaching Assistantship from Caltech, or if the sponsoring faculty member provides an account to cover tuition charges in lieu of a stipend. Note that Special Student admits are eligible for guest housing and must complete the Guest Housing Reservation Request well in advance of the intended arrival date. Housing is not guaranteed for Special Students and will be assigned on a space available basis.
Visiting
Student
Researcher
In further exceptional cases, students from other universities may visit Caltech to carry out research under the direction of a Caltech faculty member. Visiting Student Researchers must be invited by a current faculty member who will become the official sponsor. Students must be registered in and pay tuition at another institution, and be on sabbatical or leave, to qualify for this status. These students will receive the status of Visiting Student Researcher at Caltech and will not be eligible to receive any funding from the Institute. This status is restricted to students who will not be enrolled at Caltech, but will conduct research at the Institute for a specified period of time. Applications for Visiting Student Researcher status must be obtained from the Physics Graduate Office. The application should be submitted to the Dean of Graduate Studies through the Physics Graduate Office along with a similar supporting document from the Caltech faculty sponsor as for Special Students, as well as evidence of appropriate financial support, especially for international applicants. Visiting students are not required to be registered at Caltech. Note that Visiting Student Researchers are eligible for guest housing and must complete the Guest Housing Reservation Request well in advance of the intended arrival date. Housing is not guaranteed for Visiting Student Researchers and will be assigned on a space available basis after all Caltech graduate students and Special Students have been accommodated.
