Steps to Take Before You Leave
Vacation
- Discuss your last working day and any remaining vacation time with your PI
- Download and complete the HR Departure form (DFA)
- Submit the completed HR form to the Division for processing
- Coordinate the return of your keys, ID card, parking permit, P-card with your group Admin
Notice Requirements
- If you resign before the end of your appointment, the Collective Bargaining Agreement requires at least 30 calendar days' written notice to both the Institute and the Union.
- If you are leaving at the end of your contract, please provide at least 30 calendar days' written notice to your PI and the Division to ensure a smooth transition and timely final paycheck.
- As you prepare for your departure, we would like to remind you to use any remaining vacation days before your last working day.
- For year-based appointments: Your salary is budgeted for 11 months of work and 1 month of vacation.
- For month-based appointments: Your salary includes vacation time (pro-rated).
- Coordinate with your PI regarding vacation budgeting and payout.Note: Vacation payout cannot be charged to federal awards.
Notes
- Date of Termination: This is your final day as a Caltech employee, even if you use vacation time leading up to that date.
- Partial Month Pay: If you do not work a full calendar month, your paycheck will be prorated and included with the previous month's direct deposit.
- Email Access: You will retain access to your Caltech email for one month after your termination date.
- IMSS offers email forwarding for one year upon request.

- Certificate of completion: This is not a verification of employment. It is a degree-like document suitable for framing. If you require an official employment verification letter, see instructions.
