Forms and requests:

Time Away (> 3 weeks)
  • Extended Absences: Any absence exceeding three weeks requires prior approval from both the Division and HR. Requests to work from a vacation or family residence will not be approved.
  • Internationals: Foreign postdocs should consult with their international advisor before any work-related travel, as it may require advance review and updates to visa documentation.
  • Vacation Days: Any additional days taken beyond work-related travel should be reported as vacation time. Please note that paid vacation eligibility for Postdoctoral Scholar Fellowship Trainees varies depending on the funding source.
  • Travel & Reimbursement: In accordance with the CBA, postdocs who receive written pre-approval from their supervisor as part of the postdoc's work duties, including conferences where appropriate, are eligible for direct travel funding or timely reimbursement, following Institute and/or PMA policy.

Process:
  • Obtain written approval from PI
  • Download and fill out HR Detached Duty form
  • Submit HR form to the Division for further approvals and processing

Departure from Caltech
  • If you will leave when you contract ends, for a smooth transition and final paycheck, please provide at least 30 calendar days written notice to your PI and Division.
  • If you choose to leave before the end of your appointment or reappointment, as per the Collective Bargaining Agreement, you shall provide at least thirty (30) calendar days written notice to the Institute and the Union. 

Division/Institute instructions:

NOTE: If you don't work a full month, the paycheck will be prorated. You will receive the prorated paycheck with the previous' month direct deposit.
